Writing a letter of complaint to replace defective products is important for a retailer. Retailers buy their necessary products from third parties or wholesalers. Sometimes the retailer goes to the warehouse of the wholesaler to buy products and sometimes the sales team of the wholesaler comes to the retail shop to give the retailers their necessary products.

Since a large number of products are traded, there may be some defective products. In such a situation, the retailer will inform the people from whom the products were purchased through a complaint letter and request them to take away the defective products and provide good products.

Dear Sir,

This is to inform you that Trisha General Store at Uttara is a distribution outlet of your famous plastic products. Yesterday we received a good number of products from your company. Your delivery team delivered the products. Because of the paucity of time, it was not possible for us to check the quality of all the products. Today whenever we were checking the products we found some of the products were defective. So we are writing this letter to inform you of this fact.

According to the Memorandum of Understanding (MOU) signed between your company and our store, I am informing you in detail about the defective goods in black and white. The list of the defective products is given below.

  • 3 mugs
  • 4 buckets
  • 2 chairs
  • 2 bowls

You are requested to collect the defective goods from our outlet by sending your delivery team and replace them with fresh products.
